Privacy Policy and Terms of Applying
About This Policy
This policy explains what personal information Brandsquare Limited collects when you apply to work with us, why we ask for each part of it, how long we hold it, and what you can ask us to do with it. It also sets out the terms you agree to by applying. It covers our careers site, our application form, our candidate portal and our online assessments. Version 1.0, effective 27 August 2026.
When you tick the consent box and submit an application, you are telling us that you have read this page and that you agree to Brandsquare collecting and using your information in the ways described here. You do not have to agree. If you would rather not, simply do not submit the form, and nothing is kept.
What We Collect
We only ask for what a hiring decision actually needs. Depending on the role and how far you go in the process, that can include:
- Your name, email address, phone number, date of birth and gender.
- A recent photograph of you.
- A national identity document, passport or equivalent, where the role requires us to verify who you are.
- Your resume, education, work history, current employer and position, and years of experience.
- Your current and permanent address, and your country.
- Your current and expected compensation.
- Your professional and social profiles and any portfolio or website you choose to share.
- Your answers to our application questions, including why you want to join us and how you heard about us.
- Your answers, submitted work and recordings from any assessment or interview you take with us.
- Basic technical information your browser sends when you use our sites, which we use to keep the platform secure and working.
Some fields are optional and are marked as such on the form. Leaving an optional field blank does not count against you.
Why We Ask For It
A hiring process only works if the person we assess is the person we hire. Almost everything we ask for exists to make that true, and to keep the process fair to every other candidate who applied honestly. Here is the reason behind each part.
- Name, email and phone: so we can reach you about your application, and so your progress stays under one account instead of being split across duplicate submissions.
- Date of birth: to confirm you are of legal working age, and to tell you apart from another candidate with the same name.
- Gender: optional, and used only to review whether our own hiring is fair across groups. It is not shown to the people scoring your assessment.
- Photograph: your assessment is taken under webcam supervision, and your photo is what lets us confirm that the person sitting it is the person who applied. Without it, someone else could take a test in your name.
- Identity document: checked once, before an offer, to confirm you are who you say you are and are permitted to work. It also prevents one person applying under several identities to retake an assessment they have already failed.
- Resume, work history and portfolio: this is the material we actually evaluate you on.
- Current and expected compensation: so we do not take you through several rounds for a role that was never going to meet your number. Naming a figure does not disadvantage you. It is used to check the role fits, not to bargain you down.
- Current and permanent address: our roles are on-site, so we need to know the commute is realistic for you before we both invest weeks in the process, and to complete reference checks at offer stage.
- Professional and social profiles: to confirm that the experience described is real, and to see your work.
- Why you want to join and how you found us: the first is part of what we assess, the second tells us which of our channels are worth keeping.
Assessments and Supervision
If you are invited to an online assessment, it is supervised. Your webcam stays on for the duration, and our system captures periodic images and records activity such as leaving the assessment window. You are told this on screen before the assessment begins, and you can decline, in which case you simply do not sit that assessment.
This material is used for one purpose only, which is to confirm that the work submitted is yours. It is reviewed by our hiring team, it is never published, and it is deleted on a schedule once the process is complete.
How We Use It
We use your information to assess your application, to communicate with you about it, to verify your identity and the accuracy of what you have told us, to run and score assessments, to keep our own records of how a hiring decision was made, and to consider you for other roles that suit you better than the one you applied for.
We use automated tools to help score parts of some assessments and to organise applications. No candidate is rejected by an automated decision alone. A member of our team reviews the outcome before it affects your application.
We do not use your information for advertising, and we do not build a marketing profile of you.
Who Can See It
Inside Brandsquare, your application is visible to the hiring team and the managers responsible for the role you applied for. Access is restricted by role, and staff actions on candidate records are logged. Our own staff can view your identity document and resume inside the system, but the system does not allow them to download or forward a copy.
Outside Brandsquare, your information is handled by the service providers that host, secure and operate our platform, including our hosting, database, email and assessment tooling. They act on our instructions and may store data on servers outside your country. Beyond that, we share your information only when you have asked us to, such as with a referee you nominated, or where the law requires it.
We do not sell your information. We do not pass it to recruiters or data brokers. We do not contact your current employer without asking you first.
How Long We Keep It
We keep your application while it is active, and for a limited period afterwards so that we can consider you for future openings and keep a record of how the decision was made. Identity documents and assessment supervision material are held for a shorter period than the application record itself, and are deleted automatically once that period ends.
You can ask us to delete your information earlier at any time, and we will do so unless we are required to keep a record. If you ask us to delete it while you are still in an active process, we will not be able to continue assessing you.
Terms of Applying
By submitting an application you also agree to the following.
- Everything you submit is true, is your own, and describes your own experience. Misrepresentation is grounds for ending your application, and for ending your employment if it comes to light later.
- You apply as yourself, under one identity. You do not have another person complete an assessment, an interview or any part of the process on your behalf.
- You follow the rules given to you at the start of each assessment. Where an assessment is supervised, you accept that supervision.
- Submitting an application does not create an offer, a contract or a promise of employment, and we may close a role or end a process at any point.
- Where you send us material that belongs to someone else, such as work produced for a previous employer, you confirm you are allowed to share it.
- We never charge candidates a fee at any stage of hiring. If anyone asks you for payment in connection with a Brandsquare role, it is not us. Please report it to us at the address below.
Your Rights and Choices
You can ask us for a copy of the information we hold about you, ask us to correct anything that is wrong, ask us to delete it, or withdraw the consent you gave when you applied. Withdrawing consent does not undo what was done while it was in force, and it ends your participation in any active process.
Write to us at the address below and we will respond within a reasonable time. We may need to confirm your identity first, so that we are not handing your information to someone else.
Security
Your information is encrypted in transit and at rest. Access is limited to the people who need it, protected by individual accounts, and recorded. Documents such as your identity proof and resume are held in restricted storage and are served only to the people entitled to view them, for as long as they are viewing them.
No system is perfect. If a breach ever affects your information, we will tell you and the relevant authorities as required.
Changes To This Policy
If we change this policy in a way that materially affects you, we will publish the updated version here with a new version number and effective date, and where the change requires it we will ask for your consent again.
