Operations Executive

We're hiring an Operations Executive to maintain structured systems and keep operational execution smooth across all departments.

Role Overview

This role focuses on process management, team coordination, and operational oversight, keeping workflows, trackers, and internal systems organized and consistent.

As an Operations Executive, you'll support operational structure across Sales, Product, Marketing, and Operations, helping the company hold disciplined execution as it grows.

Key Responsibilities

Operational Leadership

  • Oversee day to day operational activities across departments
  • Ensure workflows and processes are followed consistently
  • Monitor task progress across Sales, Product, Marketing, and Operations teams
  • Track assignments and ensure timely completion of responsibilities
  • Maintain structured data flow across ERP systems, trackers, and internal tools

Process & System Management

  • Design and document SOPs for departments and operational workflows
  • Improve processes to increase efficiency and reduce operational errors
  • Support adoption of new systems, automation tools, and technologies
  • Maintain accurate data within the company's ERP and internal systems
  • Introduce system driven solutions to improve operational performance

Team Management & Coordination

  • Guide and support junior operations team members
  • Run daily check ins and support weekly operational reviews
  • Maintain discipline, attendance, and workflow clarity across teams
  • Coordinate communication between departments and resolve blockers
  • Share structured operational insights with leadership

Program & Office Operations

  • Plan internal programs, meetings, and company events
  • Oversee onboarding and offboarding with proper documentation
  • Maintain professional workspace standards and office readiness
  • Manage office inventory, purchasing, and supply tracking
  • Handle purchase requests and support operational budgeting

Reporting & Strategic Support

  • Prepare daily, weekly, monthly, and quarterly operational reports
  • Maintain KPI reporting systems across departments
  • Identify operational risks and recommend improvements
  • Support leadership with operational planning and execution
  • Align day to day activities with long term operational goals

Policy & Communication Oversight

  • Help implement internal policies and operational standards
  • Maintain structured communication across departments
  • Ensure leave policies and workflow standards are followed
  • Maintain professional working relationships across teams
  • Keep SOPs updated and properly implemented

Requirements

  • Strong experience in operations management, team coordination, or process development
  • Ability to structure workflows and maintain disciplined operational systems
  • Experience using ERP systems, trackers, and operational tools
  • Strong communication skills across multiple departments
  • Strong problem solving and operational decision making ability
  • Organized mindset with strong follow up discipline
  • Comfortable using and exploring AI tools like ChatGPT for research, reporting, and analysis, with enthusiasm and a genuine hunger to learn and grow
