We're hiring a Junior Operations Executive to support daily operational workflows and help teams stay organized through structured systems.
Role Overview
This role keeps a fast moving software team running smoothly, and it has two sides. At the desk, you'll keep internal systems, trackers, and reporting organized and coordinate across departments. On the ground, you'll arrange meetings and team programs, take care of purchasing and any outside work, and sort out whatever the team needs to keep moving.
We're looking for someone smart and dependable who can handle both sides without dropping the ball, using good judgment and working with minimal supervision.
As a Junior Operations Executive, you'll support teams such as Sales, Product, Marketing, and Operations inside a fast scaling software and systems company working with professionals across healthcare, legal, finance, real estate, and technology.

Key Responsibilities
Daily Operations Support
- Support day to day operational tasks across departments
- Maintain internal trackers, sheets, and task logs
- Update reports and operational records on time
- Maintain attendance records and ensure check ins are completed
- Share quick updates between Sales, Product, and Marketing teams
- Keep internal documents and operational systems organized
Coordination & Communication
- Maintain smooth communication between departments
- Share operational updates across teams when required
- Assist team members with operational support and follow ups
- Coordinate with different teams to resolve small blockers
- Maintain professional communication across internal workflows
Program & Office Operations
- Help maintain meeting rooms and shared workspaces
- Plan and arrange meetings, internal programs, and team activities end to end
- Support onboarding setup for new team members including desks and access
- Monitor snack corner, water supply, and office utilities
- Manage office inventory and ensure essential items are restocked
Inventory & Procurement Support
- Maintain organized storage areas and inventory logs
- Track office supplies and operational equipment
- Raise purchase requests when inventory runs low
- Follow internal approval processes for operational purchases
- Go out to source, purchase, and collect items in person when needed, negotiating the best price with vendors and shops
- Handle varied operational errands in and out of the office across the city
Reporting & Administrative Support
- Prepare simple daily and weekly operational reports
- Maintain accurate data entry across internal systems and trackers
- Assist with documentation, filing, and administrative records
- Identify small operational issues and report them for improvement
- Share structured updates with the Operations Manager
Requirements
- Basic experience in operations, administration, or office coordination is preferred
- Comfortable using spreadsheets, trackers, and basic software tools
- Good communication skills when working across departments
- Strong attention to detail with disciplined follow up habits
- Resourceful and street smart, comfortable going out to source and purchase items, and sharp enough to negotiate a good deal with any vendor
- Flexible and willing to take on a wide range of tasks, in and out of the office
- Field experience in a sales representative or similar hands on role is a strong plus
- Friendly, responsible mindset with a willingness to support the team
- Comfortable using and exploring AI tools like ChatGPT for research and reporting, with enthusiasm and a genuine hunger to learn and grow
